Artificial intelligence (AI) chatbots are currently engaging in conversations and are now accessible to improve teamwork.
Snap, a new application developed by Swit Technologies, is part of a wave of collaboration tools leveraging conceptual AI to enhance project management, communication, and workflows. Experts suggest that such software can feature intelligent meeting schedulers, real-time report interaction, virtual assistants, and adaptive workflow management systems.
AI can be highly beneficial for automating tasks or expediting processes but may be susceptible to errors in specific scenarios, as noted by Darrin Murriner, CEO of Cloverleaf.me, in an interview with PYMNTS. He highlighted tasks like collaborating on documents, writing articles, engaging with others, and compiling data as areas where errors may occur.
A report from PYMNTS last year indicated that AI technologies like OpenAI’s ChatGPT have the potential to significantly enhance productivity. While these advancements may disrupt traditional work environments, Jordan Zaslav, Chief Operating Officer at Axios HQ, expressed optimism about AI’s role in fostering engagement. He anticipated that tools labeled as “AI-powered” could become as ubiquitous as cloud-based technologies, ushering in a new era of productivity.
Introduction of the New AI-Powered Chatbot
Snap combines project management functionalities, task organization, and messaging capabilities, offering a comprehensive set of features beyond basic conversation facilitation. With capabilities such as task conversion from conversations, checklist creation, contextual responses, and task summarization, the chatbot aims to bolster collaborative project work.
Snap is not the sole player in the realm of AI-based collaboration tools. Zoom, a prominent video conferencing platform, recently unveiled Zoom Workplace, an AI-driven solution designed to enhance productivity and foster teamwork through its user-friendly interface. The AI Companion updates introduce various new tools, notably Ask AI Companion, a digital assistant aiding users in organizing their workdays within Zoom Workplace. Enhancements encompass improved Zoom Phone AI companions and upgraded Team Chat and Whiteboard functionalities.
AI-powered note-taking applications like Otter are gaining traction. According to Kevin Loux of Charlotte Works, these applications utilize AI and transcription services to distribute meeting notes to all participants automatically, ensuring equal access to information and promoting better teamwork and communication.
Facilitating Collaboration
“AI tools serve as a catalyst for collaboration, particularly with global and remote teams,” remarked Harpaul Sambhi, CEO of the AI firm Magical, in an interview with PYMNTS. “By integrating AI tools into their workflows, teams can boost productivity, enhance efficiency, and streamline communication. Teams can collaborate more effectively by curating a shared repository of productivity best practices, spanning from commonly used messages to workflow automation.”
Magical leverages AI to automate repetitive tasks, according to Sambhi.
“We can analyze the typical workflows of our users and suggest automating these processes with Magical,” he explained. “AI enables us to discern these patterns. In a large organization with numerous employees and extensive coordination, we can pinpoint repetitive tasks within a team or department and automate inter-employee tasks.”
As AI progresses and individuals grow more accustomed to its integration, the applications of AI in collaboration are expected to evolve, as predicted by Murriner.
“We are likely to witness a shift from mundane tasks to more advanced problem-solving and solutions, along with enhancing our capacity to forge relationships and establish connections,” he elaborated. “These advancements can prove invaluable in various aspects, such as enhancing sales performance, recommending new collaborative opportunities, or identifying key connections to enhance outcomes.”
